Keep stock for different branches, departments or storage locations separate while managing them in one inventory system. Stores let staff work with the right catalog and quantities for the place they are responsible for.

Give each stock location a clear identity

A store is a working inventory location. Switching stores changes the inventory you are reviewing, so selecting the correct location should come before adding products, receiving purchases or moving stock. Use names that staff can distinguish quickly, such as Central Warehouse and High Street Shop. A default store helps each user start in the appropriate place, but staff should still check the selection when working across locations.

Step by step

  1. Review the current store

Find the store selector at the top right of the inventory workspace and confirm which location is active.

  2. Create a location when needed

Choose Add New Store and enter a clear name. Use a consistent naming scheme for branches and departments so similar names do not cause mistakes.

  3. Switch and review the inventory

Select the required store and check the products and stock information displayed before recording any transaction.

  4. Set user defaults

Configure the appropriate default store for staff through their user or role setup. Review this when someone changes branch or responsibilities.

Remember

A new store is useful when you need a distinct stock position. A product category is better suited to grouping similar items within a location.

MORE GUIDANCE

Choose locations for the way your team works

The store selector helps separate a warehouse, branch or department from another location. Before receiving a delivery or dispensing stock, check the active store and the location named in the source document. A correct product in the wrong store still produces a misleading local balance.

For colleagues who usually work at one location, set a suitable default store. When staff cover multiple locations, make the switch part of their handover routine. Review their access through User Roles and Permissions so they can perform the right actions in the right working context.

  • Use a transfer when goods move between your own locations.
  • After switching stores, verify the page heading and stock balance before recording a transaction.

Before you move on

  • Use unambiguous location names.
  • Check each staff member’s default store.
  • Record movement between locations with a transfer rather than unrelated quantity edits.
