Move stock between stores while keeping the source and destination quantities connected. Transfers help you replenish a branch or relocate supplies without recording the movement as a new external purchase.

One movement, two stock positions

A transfer identifies the product, destination store and quantity. It deducts from the source and adds to the destination while retaining a record of the movement, including who initiated it and when. Confirm the active store first: the same product can have a different available quantity at another location. Clear store names make choosing the destination much easier.

Step by step

  1. Open the product in the source store

Select the store that currently holds the goods and find the product you want to move.

  2. Choose Transfer

Use the transfer action and select the intended destination store. Read the destination name carefully before continuing.

  3. Enter and check the quantity

Match the quantity to the physical goods being moved and confirm the product unit. Review the transfer details before completing it.

  4. Verify both locations

Check the source and destination quantities and review the transfer record. Use that record when investigating a later question about where the items went.

Remember

Use a transfer when stock changes location. Use a purchase when it arrives from a supplier, and an audit when a verified count needs reconciliation.

MORE GUIDANCE

Confirm delivery with the transfer record

The Transfer action starts the movement from the source store. The transfer history is where staff can later check the source, destination, products, quantities and recorded status. Filter by date or item when reconciling a particular delivery, then open the source record for details.

Use the same transfer record for the physical handover. If a destination reports fewer items than were sent, compare the record with the delivery and investigate before changing either store's stock. Print or export a focused history when a receiving team needs a sign-off or audit copy.

  • Example: Central Warehouse sends 25 units, but the branch counts 24. Keep the transfer reference while investigating the missing unit; an unrelated adjustment at each store loses that connection.

Before you move on

  • Confirm source and destination.
  • Check quantity and unit size.
  • Review the transfer record and both resulting balances.
